Electronic Reserves Material Submission Guidelines

Suitable Material for Electronic Reserves:

  • Course syllabi
  • Lecture notes
  • Sample exams
  • Limited portions of copyrighted works, such as:
    • A single article from a given journal issue
    • A chapter from a book

Material Requirements:

  • Items must be no longer than 35 pages. Longer articles will need to be split into multiple parts (specified by the professor).
  • Copies to be scanned MUST be clean, first generation copies with few markings.
  • Paper size cannot exceed 8 1/2 x 11.
  • Copies must be single sided only.
  • NO staples or punched holes.
  • Full source and copyright citation must be included on the first or separate page.
  • A copy of the Syllabus is required with the initial Course Reserve Form.

Material format:

  • Paper copies
  • Electronic format: ASCII, TXT, PDF, HTML, Word, Wordperfect, Excel, or Powerpoint files.
  • Electronic files may be submitted on disc or via an attachment to an e-mail message.

COPYRIGHT INFORMATION

USM maintains a reserve collection, in both print and electronic formats, to support the instructional requirements of specific courses. Much of the copyrighted material included in course reserves is covered by the "Fair Use" provisions of the U.S. Copyright Act of 1976 (Section 107). The Library will follow the principle of fair use when placing materials on course reserve. Fair use provisions are based on brevity, spontaneity and immediacy. Materials submitted which violates any of these principles will NOT knowingly be made available by the Library. Faculty will be notified upon discovery of copyright violations.

Material submitted for reserves must include a complete citation of source and notice of copyright.

A copyright warning will appear with all electronic reserve items.

Reserve material MAY NOT remain on courses reserves for the same course and instructor for consecutive semesters without obtaining copyright permission.

SUBMITTING MATERIAL FOR ELECTRONIC RESERVES

  • Submit Electronic Reserve material well before the start of the semester. Processing time for electronic reserve material may be as long as fourteen days. Please allow for scanning time when submitting items.
  • Complete a Course Reserves Form indicating that you wish to have an item made available electronically and submit the form and material to the Library.
  • Material in electronic format may be sent to the Reserves Department. Be sure to include a completed Course Reserves Form with the material.
  • Materials sent as an email attachment should be sent to williams@usm.maine.edu.
  • Electronic reserves material are processed in the order received.

REMOVING MATERIAL FROM ELECTRONIC RESERVES

  • Electronic reserve items will be made inaccessible at the end of the semester.
  • Use of the same material in any subsequent semesters will require copyright permission for copyrighted material.
